Booked a vendor? Add their invoice, with the deposit and every payment after it, and WedBuild keeps track of what's paid, what's left and when the next payment is due.

Steps

  1. Open Budget, go to the Expenses tab and choose Add Invoice. On a computer it opens beside your list of invoices.

  2. Choose the Category (1): the category and line item it belongs to, such as Flowers & Décor, Ceremony Flowers. Type the Vendor (2), a Description if you like, and the Invoice Amount (3). Under the amount you'll see what you budgeted for that line item and what's left.

  3. Pick a Due Date (4) if the invoice has one. The buttons underneath set it a week, two weeks, or one, two or three months before your wedding, or on the day itself.

  4. Paying in instalments? Under Payment Schedule, choose Add Payment (1) for each one. Give each an amount (the % buttons work it out from the invoice) and a date. Tick Already paid (2) for a deposit you've paid, and its date becomes the day you paid it. Bal. (3) fills in whatever's left.

  5. When the schedule shows Fully scheduled, choose Create Invoice at the bottom.

Good to know

  • The schedule has to add up to the invoice. It shows how much is still to schedule, or how much it's over, and the invoice can't be created until it matches.
  • No schedule? That's fine. The whole amount is then one payment due on the invoice's due date.
  • Paid a different amount from the schedule? Record it on the invoice's Rec. Payment tab. It comes off the earliest payment due, and the rest of that payment stays scheduled, so the schedule always adds up to the invoice. See Record a payment.
  • Paid it all already? Leave the schedule empty and choose Pay Now, then pick the date you paid.
  • Got the invoice as a photo or PDF? Drop it in at the top of the form and Pro can fill the form in for you. See Let AI read an invoice for you.
  • Invoices count towards your spending in Invoice tracking. In Simple tracking they're kept on the Expenses tab, but you type Actual and Paid yourself. See Simple or Invoice tracking.
  • Start typing a vendor's name and WedBuild suggests the names already in your budget, so one vendor stays as one name.
