Print your seating chart

In the Visual Seating Chart, choose Preview, then Print. You get a plan of the whole room and a page for each table, with dietary needs.

Your venue, your caterer and your MC will all want a copy of the seating plan. The Visual Seating Chart prints the whole room and a page for every table, ready to hand over or save as a PDF.

Steps

  1. Open your chart in the Visual Seating Chart and choose Preview at the top. On a phone, choose Preview & print in the ⋮ menu.

  2. Check the pages. The first is the Room plan (1): your whole room, with how many tables, seats, seated guests and dietary needs there are. Then there's a page for each table, listing its guests seat by seat. On a computer, the list on the left jumps to any page.

  3. Emails (2) puts each guest's email address on the table pages. Switch it off for a copy you're handing to someone else.

  4. Choose Print (3). The pages open in a new tab, with your browser's print options, where you can print them or save them as a PDF.

Good to know

  • Emails are switched on to start with. Check the switch before you print a copy for the venue.
  • Each table's page shows its dietary needs and each guest's in a Dietary column. See See dietary needs at each table.
  • The pages are A4.
  • Preview from the Dashboard. Each Visual chart on the Dashboard tab has its own Preview button.
  • It prints the chart that's open. To print your Final chart, open it first from Saved charts.
  • The Drag & Drop chart doesn't print. Printing is part of the Visual Seating Chart, which comes with Pro and the free Pro trial.
