Works on your phone

A reminder plan does the chasing for you. Three friendly reminders go before your reply-by date, in your names, and only to the households that haven't replied yet. Anyone who replies in between drops off straight away, and nothing goes until you turn it on.

Steps

  1. Open Forms & RSVPs from the sidebar, choose the RSVP tab and pick the form. Choose Reminders at the top of the form.

  2. If the form has no reply-by date yet, pick one. The reminders work back from it: 3 weeks before, 1 week before and 2 days before, each at 10:00 am your time. Switch off any you don't want.

  3. Pick a tone: Gentle, Friendly or Firm. What they get shows the email exactly as a household gets it, from you, with their own Reply now link. Choose Edit on a reminder to change its words, or Send me a test to see it in your own inbox.

  4. Choose Turn on reminder plan. The line under it says when the next one goes. Pause the plan stops it at any time.

Households with no email

Households with no email address can't be emailed, so they go on a Text these list for your phone (See the list on the plan). Each row has WhatsApp and Message: they open your own phone's app with that household's message and their own link, ready for you to send. Tap one and it's marked Sent just now, with Undo. On a reminder's day you also get an email with the list. When they reply, they come off it.

When the reply-by date passes

If households still haven't replied, WedBuild asks you what to do, on your dashboard, your Inbox and Forms & RSVPs:

  • Mark them as not coming. Your numbers and the caterer's spreadsheet update, and their reply history says you marked them. They're never told.
  • Give them three more days. Replies reopen, and one last reminder goes in the tone you chose.
  • Leave it for now. Nothing changes, and they stay in Yet to reply.

Good to know

  • Every reminder is yours. It's sent in your names, through Communications, where you can see who opened it. Guests can unsubscribe from your emails, and anyone who has isn't emailed.
  • One reminder per household. The household gets one email, greeted by everyone's first names, never one for each guest. Its Reply now opens the RSVP of the guest it goes to, by their own link, and they can tick anyone else they're replying for.
  • Turned on late? Reminders whose dates have passed are skipped; the rest go as planned.
  • Want to send one yourself? The Send tab in Communications has a Hasn't replied filter. See Send an RSVP reminder.
